Job Summary:
The Medical Staff & Provider Enrolment Coordinator provides essential administrative and operational support to client's daily operations. The primary objective of this role is to collaborate with Company Medical Staff Services team members to perform tactical, transactional duties to increase the velocity and drive efficiency for the Clinician onboarding process, while also executing specialized provider enrollment and credentialing tasks. The coordinator may be assigned the duties below in whole or in part to help achieve positive outcomes.
Job Description:
Responsibilities:
1. Onboarding & Credentialing:
- The total onboarding cycle time goal for Clinicians is 80 days (20 days for internal onboarding, 60 days for the Client). This role positively impacts the internal cycle time through effective management of the following key tasks:
- From Agreement Signed to start Defect Analysis = 1 Business Day
- From Defect Analysis Complete to Sending Request and Release = 1 Business Day
- From Sending Request and Release to Request and Release Received = 3 Business Days
- Follow-up on Request and Releases outstanding longer than 3 days.
- From Request and Release Received to PSL2 Complete = 4 Business Days
- Perform data entry of updated credentials data into Clinician's database record.
- Perform data entry of CV (CV parser).
- Attach credentials in the shared drive (Credentialing folder) for Offshore Staff to upload into Qgenda Credentialing.
- Request Certificates of Insurance (for clinicians onboarding at accounts where client provides the malpractice insurance coverage).
2. Expanded Credentialing & Provider Enrolment (New Responsibilities):
Licensing & Expiration Monitoring:
- Perform credentials expiration monitoring for medical licenses, DEA, and Board Certification.
- Expand expiration monitor duties from license renewal validation in Qgenda to include the retrieval of updated medical license cards from clinicians and uploading them into the appropriate systems.
System Delegation & Data Capture:
- Delegate system capture of NP (Nurse Practitioner) critical care eligible billing to the appropriate internal teams or offshore staff.
- Delegate credentials data entry in Qgenda Credentialing specifically for Performance Edge clinicians.
Leased Clinician Management:
- Following the Leased Acknowledgement SOP, send Leased Acknowledgement forms via DocuSign to lease clinicians at practices identified by Legal.
3. Administrative & Data Integrity:
- Advise the Manager of Clinician non-responsiveness, questionable information received, and any issues identified during renewals or enrolment.
- Complete requests for verification of affiliation/employment.
- Inventory Management & Control (MSS Candidate Pipeline):
- For system and/or sister sites which share privilege dates, manage the data entry details from Defect Analysis to Privilege Date.
- Monitor and maintain daily operational reports to ensure data quality.
- Follow-up to secure privilege approval letters (select accounts that can be verified via Websites).
- Create and configure Docusign templates utilized by Medical Staff Services team members:
- Map the required fields so relevant Salesforce data fields appropriately reflect on the configured templates.
- Make timely and appropriate changes to DocuSign templates using data quality reports.
4. Other:
- Maintain confidentiality of privileged information.
- Promote, enforce and uphold data integrity.
- Maintain accurate database information and perform data quality cleanup activities, as needed.
- Provide excellent customer service and serve as a key contact to Medical Staff Services team members.
- Communicate frequently with internal customers.
- Provide consistent and thorough updates to Business Operation's team members and Clinicians.

- Must have excellent written and oral communication skills.
- In-depth knowledge of the hospital credentialing process, physician scheduling, and provider enrolment (including Medicare/Medicaid enrolment).
- Proficient in Microsoft Office Products (Word, Excel, PowerPoint, Windows, Outlook).
Education (Required and/or Preferred):
- Bachelor's degree (B.A.) or equivalent experience.
Work Experience/Qualifications:
- Proficient computer skills, with experience in:
- MS Office (Word, Excel, PowerPoint, Outlook)
- Salesforce
- DocuSign (Template configuration experience is highly preferred)
- Conga Action Grid
- Qgenda (Credentialing module experience is strongly preferred)
- Previous experience in provider enrollment, medical staff services, or a healthcare administrative role is highly desirable.
